Position Summary

The Client Relationship Specialist plays two essential roles: overseeing daily operations to improve efficiency and being the face and voice of our practice. This individual ensures seamless onboarding for new clients, nurtures existing relationships, and supports our advisors in delivering outstanding service. Success in this role means systems run smoothly, compliance is met, and clients feel both supported and connected.

Primary Responsibilities

Client Experience:

  • Serve as the first point of contact for client inquiries, responding by phone, email, and approved text with professionalism and warmth.
  • Coordinate onboarding for new clients, including account setup, asset transfers, and introductions to our process.
  • Organize and schedule client meetings and phone check-ins, ensuring timely follow-up on all action items.
  • Prepare meeting materials, letters, thank-you notes, and other client correspondence.
  • Capture client details in our CRM, including personal interests and financial priorities, to build stronger connections.

Operations & Systems:

  • Develop, document, and maintain efficient workflows and business processes for the firm.
  • Manage recordkeeping requirements in accordance with compliance (document retention, advertising, client files, outside business activity).
  • Engage with custodial platforms and LPL support staff to execute client requests.
  • Prepare deposits, cash blotters, and correspondence blotters as needed.
  • Coordinate account servicing, money movement requests, and verification of client identity in compliance with regulations.

Marketing & Communications:

  • Partner with advisors and marketing team to publish newsletters, website content, and client updates with accuracy and timeliness.
  • Support firm branding efforts by coordinating client-facing communications and maintaining consistency across platforms.
  • Assist with special client events, workshops, and community involvement initiatives.

Team Support:

  • Partner with advisors to ensure meetings are well-prepared and follow-ups are assigned and completed.
  • Provide reporting and business metrics tracking to support strategic decisions.
  • Attend consortium best-practice meetings to stay updated on industry standards and share insights with the team.

Qualifications

  • Background in financial services, client service, or operations preferred.
  • Strong organizational and detail-oriented skills.
  • Excellent communication skills, both written and verbal.
  • Tech-savvy and comfortable working with CRM, planning, and custodial platforms.
  • Ability to balance multiple priorities with a proactive, solutions-focused mindset.
